Instructions for Alumni Reunions & Events Calendar
To access the Internet Browser version of the Alumni Reunions & Events Calendar or to download the iPhone / Android Calendar application you will need a Username and Password. These are distributed to network members when they join the network, and are also available in the Group Message Board.
If you enter the wrong username or password the form will reload and clear the fields you completed. That is an indication that you entered the wrong username/password.
Webpage Calendar
The Webpage Calendar Application allows you to view all alumni events and reunions being planned by other alumni from any internet browser on a desktop or mobile device. You are also able to create calendar entries for events and reunions you are planning if you access the Webpage Calendar from a desktop computer. Creating new events is not possible from a mobile device with the Webpage Calendar. For that purpose use the iPhone / Android App.
The first thing to do when you connect to the Webpage calendar is to change the time zone to your time zone (or if you are organising an event outside of your city, to the time zone where the event is taking place). This is easily done on the web version of the calendar by right clicking the location shown in the bottom right hand corner of the calendar. Failure to select the right time zone will result in an inaccurate day/time being recorded for an event you are planning (and potentially many upset alumni).
You can display the calendar in many different ways (week, month, year, etc) through the bottom menu located on the top right hand corner of the application. The 'List' view is the quickest way to glance at the calendar
The application displays events in all regions by default, however you are able to narrow down to only the regions of your interest by deselecting the regions you don't want to see on the left margin of the calendar.
To create an entry for a reunion or gathering you are organising press the 'Add Event' button in the 'List' or 'Agenda' views. The 'Add Event' button is located on the upper left area of the screen and has a white cross surrounded by a green circle. In any of the other views (Day, Month, Year, etc) simply click the day where you want to create an event and start editing the form.
To avoid confusion with time zones and makes it easy for alumni to identify reunions that they want to attend, please write your event "Title" in the following format:
Location Day/time : Event title (example: London Nov 23 6:30pm: Gemini Christmas Drinks)
In the "Calendars" field select the region of the world where your event is taking place and any other regions that might be interested in the event due to the close proximity that existed between the Gemini offices (for example UK and Benelux)
Make sure that you press the 'More' button and enter the event organiser's name and contact details in the notes area of the event. This is important so that other members can contact the organiser to confirm the event details and their interest in joining.
iCal Calendar Feeds
One of the most powerful and convenient features of network calendar is that you can install it as an internet calendar that overlaps with your regular calendar in outlook, google and many other calendar applications. This is achieved through calendar feeds called 'ical' that update automatically on your calendar application once installed. That means that after you install the 'ical' feed on a calendar like outlook the network's calendar will always be up to date on your system. Teaching members how to use iCal feeds goes beyond the scope of this instructions guide, but you can easily find information on that by searching for 'ical' or 'internet calendar' and the name of your calendar application (example ical outlook 2010 or internet calendar outlook 2010) on the Google Search engine.
Please note that events displayed on the iCal calendar on your system will be 'read-only'. Any changes you make to those events will not be uploaded to the network calendar. If you need to edit an event you need to do so through the Webpage Calendar or the iPhone / Android Apps.
The iCal feeds for the network calendars can be viewed/copied through the Webpage Calendar (not on the iPhone / Android Apps). To view them open the Webpage Calendar and on the top right hand corner you will find a dark blue icon. Press it and select 'iCalendar Feeds'. You will find an iCal feed titled 'All Calendars' that will show you all the reunions in the network regardless of region, or iCal feeds for individual regions.
